Google Apps for Medical Professionals

As of 2014, Google offers one of the only cloud-based collaboration environments compliant with the Health Insurance Portability and Accountability Act (HIPAA).

Ensuring that patient or customer data is safe, secure, and always available is a top priority for Google. They have sought and received numerous security certifications including FISMA, ISO 27001, and SSAE 16. Under HIPAA, certain information about a person’s health or health care services is classified as Protected Health Information. Google Apps customers who are subject to HIPAA and wish to use GSuite with Protected Health Information requirements must sign a Business Associate Agreement (BAA) with Google.

Administrators for GSuite for Work, Education, and Government domains can request a BAA before using Google services with Protected Health Information. Google offers a BAA covering Gmail, Google Calendar, Google Drive, and Google Apps Vault services.

GSuite customers are responsible for determining whether they are subject to HIPAA requirements and whether they use or intend to use Google services in connection with Protected Health Information.

Google Drive

30GB of storage per user, shared across Drive and Gmail, allows for lots of room for data. But if that’s not enough storage, unlimited plans are also available. GSuite Vault

GSuit Vault, an add-on service, lets you retain, archive, search, and export your organization’s email for eDiscovery and compliance needs. Vault is entirely web-based, so there’s no need to install or maintain software. Vault is included with GSuite Unlimited, or you can purchase Vault licenses for an additional monthly fee per user.

GSuite Vault offers the following eDiscovery services:

  • Email and chat archiving—Set retention rules to control how long email messages and on-the-record chats will be retained before they are removed from user mailboxes and deleted from Google systems.
  • Legal holds—Place legal holds on users to indefinitely preserve all of their emails and on-the-record chats in order to meet legal or other retention obligations. You can place legal holds on all content in a user’s account, or target specific content based on dates and terms.
  • Drive file search—Search your domain’s Google Drive accounts by user account, organizational unit, date, or keyword. Search results include Google file types as well as non-Google file types such as PDF, DOCX, and JPG.
  • Email search—Search your domain’s email and on-the-record chats by user account, date, or keyword. Vault supports Boolean, Gmail-specific, and wildcard operator searches.
  • Export—Export specific email, on-the-record chats, and files from Drive to standard formats for additional processing and review.
  • Audit reports—Use Vault audit reports to learn about actions users have taken during a specified period of time.
